This policy explains what information MailWatchman collects when you use mailwatchman.com and check.mailwatchman.com, how we use it, and the choices you have. In short: we collect only what we need to run the Service, we don’t sell your information, and we don’t use advertising or tracking cookies.
What we collect
- Domains you check. When you run a free check, we look up public DNS and blacklist records for the domain you enter. We briefly keep the result to answer repeat checks faster.
- Your email address. If you create an account, we store your email address to sign you in and to send alerts and summaries.
- Domains you monitor and their results. For paid plans, we store the domains you add and the results of each check, so we can detect changes.
- Technical information. Our servers record IP addresses, request times and basic browser information in logs, which we use to prevent abuse (such as rate limiting the free check) and to keep the Service secure.
- Subscription status. We store your Stripe customer and subscription identifiers and your plan status. We don’t receive or store your card details.
Payments
Payments are handled by Stripe through its Managed Payments service, with Stripe and its affiliate Link acting as merchant of record. At checkout, Stripe collects your name, billing address and payment details to process payment, calculate tax and prevent fraud. Stripe’s privacy policy (stripe.com/privacy) governs that information. Stripe shares with us what we need to manage your subscription, such as your plan, billing status and email address.
How we use information
- To run checks, monitor your domains and email you alerts and summaries
- To sign you in and manage your subscription
- To protect the Service from abuse and keep it secure
- To answer your questions and provide support
We don’t sell or rent your personal information, and we don’t share it for advertising.
Service providers
We rely on a few providers to run MailWatchman, who process information only to provide their services to us:
- Stripe for payments, tax and subscription management
- Zoho for sending sign-in links, alerts and other email
- Cloudflare for website delivery and security
- Google Fonts, which serves the fonts on our pages (your browser connects to Google to load them)
Cookies
We use one essential cookie to keep you signed in to your dashboard. Cloudflare may set cookies needed for security and bot protection. We don’t use analytics, advertising or tracking cookies.
How long we keep information
Free check results are kept for a few minutes. Account information and monitoring history are kept while your account exists. When you ask us to delete your account, we delete your email address, domains and results from our systems, except where we need to keep limited records for legal, tax or security reasons. Server logs are kept for a limited time for security. Stripe keeps transaction records under its own policies.
Your choices and rights
You can turn off weekly summaries in your dashboard, remove monitored domains at any time, and cancel your plan under “Manage billing.” You can ask us to access, correct or delete your personal information by emailing [email protected]. Depending on where you live, including California and the European Economic Area, you may have additional rights under local law, and we’ll honor them. We won’t treat you differently for exercising your rights.
Security
We protect information with encrypted connections, hashed sign-in and session tokens, restricted access to our systems, and providers with strong security practices. No system is perfectly secure, but we work to keep your information safe and will notify you as required by law if a breach affects you.
Children
MailWatchman is a business service and isn’t directed to children under 16. We don’t knowingly collect their information.
Changes to this policy
We may update this policy. We’ll post the new version here with a new effective date, and email account holders about material changes.
